Practical techniques to increase response to your marketing emails, from copy to layout to product

An effective email is so much more than just finding some pretty images and filling the copy with superlatives and hype words, in the hope that someone will be motivated into action by this. Based on a recent breakfast seminar I’ve pulled together 15 of the best tips for better emails.

Pick images that speak for your email

We’ve all been told an image speaks a thousand words but the skill is picking an image that speaks the right 1000 words!

1. Show your products. An attractive woman or handsome man might make the email look beautiful but if you are selling products, a high quality product image is the better choice. It’s an absolute must in fashion and many retail verticals. Depending on your product showing it in use or context can help too. It helps customer imagine themselves using the product.

2. Use the top-left. Eye-tracking heat maps illustrate that users frequently read email content in an F-shaped pattern and read from top left, so make sure the top left image and copy is engaging, as that part of the email has a big impact on what happens next.

3. Control movement. Images grab attention briefly before copy is read and how the reader move through the email is influenced by the image. For images showing people the readers eyes will follow the direction of gaze of the person in the image. Or if there is obvious motion the reader’s eye will move in the direction of that motion. Place your key copy relative to the image to ensure its the next point of focus.

4. Images carry emotion. Whilst copy is good at clarity images are good at creating a feeling and emotion. Consider what emotion the image might give and how that fits with the email copy.

5. Be irregular. Standard regular shapes are more easily ignored than irregular shapes, to grab attention and standout use irregular shapes.

6. Add a pre-header. The very first bit of text shows up in the inbox next to the subject line in some email clients. Don’t waste this space with phrases like ‘If your email doesn’t display correctly’, etc. Rather use it to expand the thought in the subject line. Make sure when both subject and pre-header are read together they work as a pair.

7. Write dark on light. Avoid white text on a black background, or any light font on a dark background. They are harder to read and tend to be ignored. The traditional black font, white background is often the best choice and in all cases ensure high contrast. Think too about smartphones in bright sunlight, high contrast will make it easier for your customers.

8. The first few words are key. The first two sentences of the email and the first two words of every paragraph are those that encourage (or don’t) recipients to read your email further and engage with its content. Keep sentences and paragraphs short, front loading the key words to the start of the sentence.

9. Keep the email text simple. Pick the simplest and the most relevant content for your email marketing campaign. Your customer will not get excited about the numerous colours and fonts you have squeezed into your email.

What about an effective email layout? In order to create exceptional email content, you need a structure to your copy to take the reader through a thought process and into action.

11. Allow for your email to be scanned. Plan your layout in a way that will enable subscribers to easily scan your email according to headings, pictures, bullets, calls to action and other important elements.

12. Capture their attention. In addition to eye-catching images and user size to grab attention, hit with the main benefit first. Don’t hide away the benefit until the end

13. Convince your customer. After you have gained the customer’s attention, make sure they understand why it is important to engage. Highlight benefits using bullets and short explanations.

15. Selling multiple products. When you’ve several products, or different items being promoted, each needs its own attention grabber, convincer and call to action.

For the past 8 years I’ve worked at TechTarget, 7 of those were spent catering to the IT end-user audience of our Storage Media Group. My main objectives, in a nutshell, were to grow and nurture these IT professionals, requiring a number of emails to be sent out. Emails to highlight editorial tips, emails to promote vendor white papers, emails to share weekly updates, emails to reactivate inactive members… You name it and chances are I have sent it.

With that being said, I learned a thing or two about what worked and what didn’t when it came to grabbing the attention of an IT pro. And I thought it would only be fair to share these insights with you all, in what I believe will be the internet’s first-ever blog on email marketing best practices.

Get Creative with Inactive Users Simple is Better

HTML-based emails look great, and most users even admit they’d prefer to receive emails in HTML format. But when it actually comes down to it, plain text emails simply perform better than their more attractive counterpart. HubSpot recently published an interesting blog on this exact same topic: Upon reading it, I was excited to know that I wasn’t going crazy for seeing nearly 50% higher CTRs on plain text emails vs. HTML emails. But on the other hand, I was dismayed to realize that this blog I’m writing now isn’t, in fact, the internet’s first-ever blog on email marketing best practices!

Admit your Mistakes

Whether it’s a broken link, personalization errors or incorrect information, mistakes happen when it comes to email marketing. Rather than ignore the elephant in the room, send out a correction email admitting – and addressing – the mistake. Nearly every “oops email” that I’ve ever sent out has performed above average in terms of Open Rate (OR) and CTR. Not only does the user want to know where we went wrong, but it also adds a bit of humanization to you and your brand.

Be Personal

Readers want to hear from a real person who knows them and their needs. These users are getting hundreds of emails a day, so it’s important you’re catching their attention from the very first “new email alert” . Try using your own name in the “From Line” ; this not only helps humanize the message you’re hoping to convey to the reader, but also helps humanize your brand. Be sure to use personalization in the subject line – as well as in the email where necessary – to speak directly to the reader and what they want to hear, as research has shown these tactics can deliver 6X higher transaction rates. Finally, be sure you’re speaking to your audience on their terms and with a message that is relevant to them: You don’t want to grab their attention using these first few personalization tips, only to have them realize that you’re really just trying to spruce up a generic one-size-fits-all message.

11 Useful Gmail Search Tips To Improve Your Productivity

Like many of you, I’ve been happily using Gmail for years. While there are many things to like about it, one feature in particular has always impressed: search. It’s no surprise that Google would add powerful search features to their email system, but there are many great features that go largely unnoticed. Let’s take a look at some of Gmail’s best search tips so you can get the most out of this awesome email service.

1. Search for Important Emails

Gmail has long been really great at understanding patterns where you consistently open up and read/respond to emails from certain senders. As those patterns build, Gmail will tag these emails as “important” with a yellow arrow above the sender’s name. Inside Gmail, it says: “Important according to Google Magic.”

To find these emails: inside the search box, type: “search query is:important.” If they are unread, you can also do: “search query is:important is:unread.” Make sure both of those queries are typed together to find both important and unread emails.

2. Find Attachments

This one feels pretty self-explanatory, as it will find all of your emails that contain attachments. This could be anything from a picture to a document to a book. To activate this search, type “has:attachment.” If you are looking for attachments from any one person, you can do “from:name has:attachment.” You can even add the filename or its extension (.pdf, .doc, .ppt, .xls, etc.) to get results that are more exact.

3. Find Large Files

This is another one that is pretty self-explanatory, but, in this instance, you are looking for any emails that include large files. To start your search, just type “size:xx” where the “xx” represents whatever number you are trying to find for a file size. This is especially useful if you want to locate large files that can be deleted so you can free up space in your inbox.

4. Find Emails from a Specific Person

You know those times when you cannot find the emails from your boss, teacher or furniture store from a week prior? Gmail makes them easy to find. Just type “from:persons name” and wait for the results to appear on the screen.

5. Find Exact Words and Phrases

Searching for phrases is another incredibly easy thing to do inside Gmail. All you have to do is include quotation marks around the intended word or phrase. For example: if you want to search for “dinner with Mom,” type in that phrase, then search and find your result. Note that you can also use this method with other search functions on this list to find an even more exact result if your word search or phrase is more common.

6. Find by Subject Line

Finding emails by subject line is incredibly easy. Type “subject:” followed by whatever word, phrase or name you would like to find. Any subject line that contains that word or phrase will appear in your search result. To help make it a little easier, Gmail magic will provide what it believes are the most relevant results.

7. Find Labeled or Unlabeled Emails

Labels are one of the most useful aspects of Gmail and very much what folders are to Outlook. Using them can help keep you super organized, which makes this search all the more useful. To find any email that has a label, search “has:userlabels,” and you will find every email that has a label. You can search “label:maketecheasier,” and every email from my communication with the MTE team will show up in the results.

8. Find Emails from a Certain Time Period

All too often you know around a general time frame of when an email was sent or received, but not the exact day. Fear not, as Gmail easily allows searches by a specific time period. You can use one of four searches including “after,” “before,” “older” and “newer.” In other words, you can set up a search that looks like “after:1/31/2023 before:3/1/2023,” resulting in emails from February.

9. Unsubscribe to Newsletters

One of the most important ways you can use Gmail search is to stop all of those pesky newsletters that arrive every day. Type “label:^unsub” and you will find any email that has an unsubscribe option. From here, you can go through every newsletter and begin unsubscribing at your leisure.

10. Find All Photos

Similar to finding attachments, there is a more specific search query to find any email that includes an image. Enter “filename:jpg” and start your search. You can also replace jpg with png, gif or jpeg to get a different set of results if necessary.

11. Find in Folders

Should you want to do a quick search of your inbox, sent emails or trash, you can easily do that. Type “in:foldername” and perform your search. If you want to look in your sent folder, your search would look like “in:sent maketecheasier.”

Wrapping Up

Netflix is one of the most popular streaming services around. Depending on how you watch Netflix on your PC, you may have performance issues. Everything from whether you use a wireless connection to your Internet speeds to your window size can make a difference in having the best picture quality possible when streaming. This guide will give you some tips on how to optimize Netflix playback on your PC.

1. Wired vs. wireless

Whenever possible, connecting your PC to a wired Internet connection will always offer the best Netflix playback. Wired connections can get up to 100 Mbps depending on your ISP, modem and/or router configuration. Wireless connections, however, can be fickle depending on the weather and interference, and often have performance issues. The wired versus wireless scenario can vastly change the quality of streaming in Netflix.

2. Testing your Internet speed, contacting your ISP

Netflix automatically adjusts playback based on your Internet speed. If you have two computers in your home, depending on the circumstances, one could have better playback than the other. If you notice the picture in particular beginning to degrade as you are streaming, it is possible your Internet speed has slowed below what is required for optimal playback.

Netflix has recommended the following speeds for certain aspects of playback:

1 MB/s: Streaming on a laptop

2 MB/s: Streaming on a standard definition television

4 MB/s: Streaming in HD

5 MB/s: Optimal audio and video streaming

If your download speeds are low, you will want to check your hardware first, and then contact your ISP to see if there’s anything they can do on their end to increase it. This could involve a change in hardware or a better Internet plan.

Window size can impact playback for many Netflix users utilizing monitors or screens 20″ or higher. If you are using two monitors or more, this can also affect playback, and at the moment, there is not many ways to combat that issue.

However, you can reduce the window size of Netflix in your browser for better playback. This will take some tweaking, as no two computers will have the same configuration. You will have to play with the Netflix window size to find the right streaming playback.

For example, on my desktop PC, I use two 27″ monitors for my setup. Coupled with the amount of temporary memory and Internet connection I have through Comcast, I have found if I reduce the Chrome browser window to about 1024 x 748 in size, I can get optimal playback as long as my wireless connection is steady.

5. What else is running in the background?

When you stream through Netflix, part of the video you are watching is temporarily stored in your computer’s memory. If you are using a lot of programs, playing games or doing other things while trying to stream, this can impact the quality of playback from Netflix. Ideally, you want to run the bare minimum when streaming Netflix, especially if you want to use full screen mode to watch a program.

Conclusion

There is no catchall solution for fixing Netflix streaming performance that will work on all PCs. It takes some time to find the right setup, but these five tips can help optimize your Netflix playback on your PC.

If you just upgraded to iOS 15 or got yourself a new iPhone, the tips and tricks below should help you get the most out of Apple’s latest system software.

1. Rearrange Home Screen Apps

iOS 14 introduced the ability to hide and unhide Home Screen pages. With iOS 15, you also get to rearrange pages in any order you want.

Just bring up the Home Screen manager (enter jiggle mode and tap the strip of dots above the Dock) and drag around the page thumbnails as you see fit. Want the first Home Screen page as your last? Not a problem!

2. Delete Home Screen Pages

Rearranging aside, you can also delete Home Screen pages. Again, open the Home Screen manager and uncheck the circles under the pages you want to remove. Follow that by tapping the Minus icon to the top-left of the thumbnails. 

Don’t worry. Any apps on the pages you delete will continue to show up within the App Library.

3. Edit or Create Focus Profiles

iOS 15’s Focus is a fresh take on Do Not Disturb that helps improve focus based on activity. By default, you have four modes—Driving, Sleep, Personal, and Work—that you can activate via the Control Center, and you likely use them already. But what you may not know is that you can edit them or create Focus profiles from scratch.

To do that, open the Settings app and tap Focus. You can then select an existing Focus to edit it or tap Custom to create a custom Focus from scratch. 

Also, don’t forget to use automation triggers to activate a Focus based on time, location, and app usage.

4. Move Safari Address Bar to the Top

Safari went through several radical design changes in iOS 15. The most significant is the floating address bar at the bottom of the screen. If you don’t like that (you aren’t alone!), you can quickly go back to how things looked before.

To do that, open the Settings app and tap Safari. Then, scroll down to the Tabs section and select Single Tab.

Other aspects of Safari are also customizable. For example, you can tap the Edit button within the Start Page to add and remove sections (such as Favorites, Privacy Report, and Reading List) or change the background image.

5. Pull to Refresh in Safari

With Safari in iOS 15, manually reloading pages is now a breeze. Just swipe down and release. Done!

6. Copy Text From Photos

In iOS 15, your iPhone is smart enough to detect text in photos. Apple calls the functionality Live Text. Just double-tap a word within an image, and you get to select it (as well as surrounding text) similar to regular text. You can then copy and paste the text into any app. 

With iOS 15’s data detectors, Live Text also lets you perform quick actions such as placing a phone call or adding a contact to your address book. To make things better, you can even interact with text in the camera’s viewfinder. Pretty cool, right?

7. Scan Text into Text Fields

iOS 15 also lets you scan text into any text field. Just tap on a text field and pick the Scan Text option. You can then point the camera’s viewfinder at the text you want to insert, and iOS will automatically fill in the field. You can edit the text afterward.

8. Set Up Notification Summaries

Do you hate having to wade through lots of notifications? iOS 15 helps you by distilling notifications from the most important apps on your iPhone. 

9. Chat With Anyone Using FaceTime

With iOS 15, friends and contacts with non-Apple gear can easily participate in FaceTime calls. Just send them a link, and they should be able to join via any desktop or mobile web browser. Just tap that Create Link button on FaceTime to get started.

10. Use Siri Offline

The next time you lose internet connectivity, don’t forget to keep using Siri. It now works offline for queries that don’t require data fetching from online sources. Because of that, it’s also significantly faster.

11. Translate Text Anywhere

In iOS 15, you don’t have to use the stock Translate app to translate text from other apps. Instead, you get to do that natively within any app! So, for example, if you want to translate a message in the Messages app, simply long-press and tap Translate. You can also translate select portions of text in Safari.

12. Use iCloud Private Relay

If you pay for iCloud storage, iOS 15 automatically upgrades you to iCloud+. Chief among its perks is the ability to mask your IP address and encrypt data using a feature called iCloud Private Relay.

13. Check Image Details in Photos App

Ever felt the need to check an image’s metadata? Apple’s latest system software makes that ridiculously easy, unlike previous iOS iterations where you had to rely on third-party apps.

Just swipe up an image in the Photos app to check out the details. You can also tap Adjust to change the image’s time and location if you want.

14. Hide Your Email

When subscribing to websites and services, you don’t have to risk giving away your email ID. Instead, you can create a random email that then forwards messages to the address tied to your Apple ID. It’s straightforward to set up and use. 

15. Use Tag and Smart Folders in Notes

When using the Notes app on iPhone, iOS 15 lets you insert tags into your notes. You will find a new Tags section within the Notes app’s main screen that then helps you filter notes by tags. That makes managing notes incredibly easier, so don’t forget to use them.

Tags aside, Notes also supports Smart Folders. These are essentially folders that continuously update themselves based on predefined tags. Tap the New Folder icon on the screen’s bottom-left and select New Smart Folder to create your first Smart Folder.

16. Use Tags and Smart Lists in Reminders

Like with Notes, the iOS 15 version of the Reminders app also lets you add tags to your to-dos. It even introduces Smart Lists that filter tasks by tags and other criteria—Date, Time, Location, etc. Just tap the Make into Smart List option while creating a new list to get started.

17. Receive Separation Alerts 

If you use multiple Apple devices, you can set up the Find My app to notify you if you leave any behind—e.g., your iPad. First, open the Find My app and tap Devices. Then, select a device, tap Notify When left Behind, and turn on the switch next to Notify When Left Behind.

Don’t forget to set up a safe location for each device by tapping New Location under the Notify Ne, Except At section.

18. Use Tab Groups in Safari

If you already have several tabs open, tap the New Tab Group from xx Tabs option to add them instantly to a new group.

19. Live Translate in Translate App

iOS 15’s Translate app comes with a significant upgrade to Conversation mode. It performs translations automatically without you or the other person tapping the Microphone icon all the time. Select the More icon (three dots) within the Conversation tab and tap Auto Translate to activate the functionality.

20. Auto-Fill Verification Codes

Your iPhone’s built-in password manager lets you conveniently auto-fill passwords. But things aren’t as seamless with sites that require additional authentication. Thankfully, with iOS 15, you can autofill verification codes as well.

21. Skip Silence in Voice Memos

Voice recordings with long pauses can be annoying. Thankfully, you get to skip those parts automatically with the Voice Memos app in iOS 15. Just tap the Options icon beneath any recording and turn on the switch next to Skip Silence.

22. Drag and Drop System-Wide

iOS 15 lets you drag items system-wide on the iPhone desktop-style. So, for example, if you want to copy a photo to an email draft, just drag it with a finger, switch apps with another finger, open the draft, and release it!

23. Zoom Stuff With Magnifier

You don’t have to dig around for your magnifying glasses anymore whenever you want to look at something tiny. iOS 15 comes with a new Magnifier app that lets you quickly zoom in on stuff. Of course, the iPhone enhances the image digitally, so expect things to be a bit blurry.

24. Use Spotlight on the Lock Screen

With iOS 15, you don’t have to enter the Home Screen to start using Spotlight. Instead, just swipe down the Lock Screen to invoke it immediately. That makes searching for and opening apps, websites, and files even faster.

25. Drag and Drop Apps from Spotlight

Moving apps between multiple Home Screen pages can be tedious. That’s where iOS 15’s Spotlight proves to be helpful. Just search for an app and drag it out into the Home Screen.

26. Change App Text Size

In iOS 15, you can change an app’s text size. To do that, open the Settings app and go to Control Center. Then, add the Text Size control to the Control Center.

You can then use the Text Size control to manage the text size while viewing any app. Simply long-press the control and use the slider to adjust the text. Then, drag the slider from All Apps to [App Name] Only.

27. Temporary iCloud Storage

If you’re about to upgrade to a new iPhone, iOS 15 makes the migration process more accessible by having you upload all data to iCloud without having to pay for the extra storage. You can then use the backup to set up the new iPhone within 21 days. Quite generous of Apple, right?
