How To Use Smart Folders In Notes On Iphone, Ipad, And Mac
Having trouble organizing or finding the notes you need? With Smart Folders in Apple Notes, you can set up folders that automatically include specific notes. This gives you a great way to stay organized and on top of the notes you need most. So, let’s take a look at how you can create and use Smart Folders on iPhone, iPad, and Mac.
What are Smart Folders in Notes?
As mentioned, you can create a Smart Folder that contains certain notes automatically. To do so, you set up a filter (condition) like a tag, date, or locked note. When the condition is met for a particular note, it pops into the Smart Folder. This gives you a convenient spot to quickly access the notes you need.
Uses of Smart Folders in the Notes app
View all notes for the current day, each day of the week.
See pinned notes that contain specific tags.
Gather notes that were created or edited in a certain date range.
Access notes that you share with particular contacts.
See notes with specific types of attachments like photos, videos, or documents.
Collect notes that contain checklists, including checked or unchecked items.

How to create a Smart Folder in Notes on iPhone and iPad
Launch the Notes app on your iPhone.
Select an account and tap the New Folder icon on the bottom left.
Next to Include notes matching, use the drop-down box to pick All or Any depending on if you want to match all of the filters or just a few of them.
As an example, we’ll select Shared and With Specific People. At the top, below Enabled Filters, you’ll see an option to Select People.
You’ll then see the Smart Folder in your list for you to select and view the contents.
Convert a normal folder to a Smart Folder on iPhone and iPad
Maybe you have an ordinary folder in Notes that you’d like to turn into a Smart Folder. Once you convert the folder, you’ll see all notes inside contain a tag with the folder name.
Keep in mind you cannot convert a Smart Folder to an ordinary folder, so be sure you want to change the folder type before you follow these steps.
Open a simple folder and then tap the three dots at the top.
Pick Convert to Smart Folder.
Confirm by choosing Convert at the bottom or Cancel if you change your mind.
Edit a Smart Folder on iPhone and iPad
If you’d like to change your Smart Folder, you can edit it easily. This includes folders you convert to Smart Folders.
Select the folder and tap the three dots at the top.
You can then sort or group the notes within the folder or choose Edit Smart Folder for the other changes below.
To rename the folder, simply enter the new name.
To adjust the filter(s), pick Manage Smart Folder, make your changes, and tap Done to save them.
Delete a Smart Folder on iPhone and iPad
You can remove a Smart Folder you no longer use in Notes. The notes in the folder don’t get deleted but remain in their original location(s). It’s only the Smart Folder container that’s removed.
On the main Folders screen, either slide the folder name from right to left and tap the Delete icon (trash can) or long-press the folder and pick Delete.
How to create a Smart Folder in Notes on Mac
Like on an iPhone or iPad, you can create a Smart Folder in Notes on Mac easily, albeit with a few changes.
Launch the Notes app on Mac.
Give your Smart Folder a name at the top of the pop-up box. You should see the Make into a Smart Folder box checked for you.
Convert a folder to a Smart Folder on Mac
Start with one of the following:
Select the three dots to the right of the name and pick Convert to Smart Folder.
Edit a Smart Folder on Mac
After you create a Smart Folder, you can make adjustments to it just like on iPhone and iPad.
To change the filter(s) for the Smart Folder, pick Edit Smart Folder. Then, make your adjustments and select OK to save them.
Delete a Smart Folder on Mac
If you no longer want to use a Smart Folder you’ve created, you can delete it easily. Remember, this does not delete the folder’s notes.

With so many use cases, your phone also stores a lot of information that you may want to protect when switching phones or in the worst case, lose it.
iPhone users have the option to choose between an iCloud backup or a Mac backup. If you have a lot of data to back up and the iCloud’s free 5GB storage isn’t enough for you, then your next best option is to back up your iPhone on a Mac. In this post, we’ll help you back up your iPhone data on a Mac using iTunes or Finder and then show you how you can restore it with ease.
What iPhone data can you back up on a Mac?
When you use your Mac to back up data from your iPhone, the backed up data covers almost all of your device’s data and settings except for the following items:
Face ID or Touch ID settings
Apple Pay data and settings
Content from iTunes, App Store, Apple Books
Content synced using Finder or iTunes
Data already stored in iCloud – iCloud Photos, iMessage, text (SMS), and multimedia (MMS) messages
Activity, Health, Keychain data
Apple Mail data
Your iPhone backup can also be restored to a different iPhone or iPad as well but in doing that, you’ll have to keep in mind that some types of content won’t get transferred.
How to Back up your iPhone on a Mac
If you want to keep the data on your iPhone safe and secure, then backing it up on your Mac is the best possible way to make sure you don’t lose any information during the transfer process. Mac backups can also help you set up a new iPhone in such a way that all the content from your previous iPhone including its settings is copied.
You can back up your iPhone on a Mac in two different ways but you don’t get to choose which one yourself. If you’re using a Mac that’s running on macOS Mojave 10.14 or earlier, then you’ll have to go ahead and use iTunes to back up your iPhone on your Mac. For devices running macOS Catalina 10.15 or higher, you can use the native Finder app to get things started.
Prerequisites
Before you start backing up your iPhone data on a Mac, you need to make sure of the following things:
Your Mac is updated to the latest macOS version
iPhone that you’re backing up is running the newest iOS version
You have the USB-to-Lightning cable that comes out-0f-the-box with your iPhone [This is needed to establish a connection between the iPhone and Mac]
Using iTunes
You should follow this procedure only if you’re using a Mac that’s running macOS Mojave 10.14 or earlier. Before you start backing up your device, switch ON both your Mac and iPhone and connect the two using a USB-to-Lightning cable.
Now, launch iTunes on your Mac from the Launchpad or the Applications folder inside Finder.
To establish a connection, you will also have to tap on the ‘Trust’ button on your iPhone when prompted with the “Trust this Computer” dialog and then enter your iPhone’s passcode.
On the right-side pane, scroll down and locate the ‘Backups’ section.
You can additionally back up Health and Activity data from your Apple Watch by checking the ‘Encrypt local backup’ box.
Using Finder
To start backing up your iPhone, power ON both the iPhone and Mac, and unlock them. After the devices are booted up and unlocked, connect them using a USB-to-Lightning cable that came with your iPhone.
After a successful connection, open the Finder app on the Mac.
In the next step, you will have to tap on the ‘Trust’ option on your iPhone when it prompts you with the “Trust This Computer” dialog.
You will now be able to view your iPhone data inside the Finder app on your Mac once the authentication is successful. This is the screen that shows your iPhone device management and stores all the tools you need to back up your iPhone.
How to Restore an iPhone backup on a Mac
The backups you created can be used to restore your iPhone when your device is misbehaving or if you’re resetting it as new. Backups can also be restored when switching to a new device from an older iPhone. How you restore an iPhone from a backup saved on your Mac depends on the method you used to back up your iPhone data.
If backup was created on iTunes
You will need to rely on the iTunes app on your Mac again if you created an iPhone backup on a Mac running macOS Mojave 10.14 or earlier. To restore an iTunes backup, connect your iPhone to the Mac using the USB-to-Lightning cable.
Inside the ‘Summary’ screen, scroll down and locate the ‘Backups’ section.
A new dialog will appear on the screen showing you a list of backups you have stored on the Mac alongside the date on which they were created.
Select the backup you want to restore and enter the password that the backup was created with if you had saved your backup with encryption.
iTunes will start restoring your iPhone with the backed up data. To make sure that the restoration process is successful, keep your iPhone plugged into the Mac until the end.
If backup was created on Finder
Similar to how you do it using iTunes, restoring your iPhone from a backup on Finder is pretty easy. You will need to connect your Mac and iPhone using the USB-to-Lightning cable and then open the Finder app.
If your iPhone is protected with a passcode, you will be asked to enter it. When you do that, you will be greeted with the iPhone device management screen.
You will now be shown a list of backups that were created on your Mac along with the date of their creation. Select the backup you want to restore your iPhone from, preferably the most recent one.
Also, enter the password that you may have set for the backup if you had enabled encrypted backup at the time of its creation.
The restoration process will now begin and your iPhone will restart when the backup has been successfully restored.
After this, you can go ahead and disconnect the iPhone from your Mac and check whether all your data has been accounted for.
Why can’t I restore a backup on your iPhone?
While restoring an iPhone with a backup on a Mac is a daily simple task, you might sometimes run into problems doing the same. If you’re having issues restoring a backup, it could be because of any of the following issues:
Either your Mac or iTunes isn’t running their latest versions
Your backup file may be corrupted, incompatible, or too old
You did not disable Find My iPhone before restoring your device
Your phone may not be unlocked
A wrong password was entered while restoring an encrypted backup
If there isn’t enough disk space on your iPhone or Mac
Backup may have been created on another Mac
If backup files got deleted from your Mac accidentally
The connection between iPhone and Mac broke down because of a faulty cable
Can’t restore a backup? Try these fixes
If you’re encountering issues when restoring an iPhone backup, then you can perform these fixes to solve them.
Restart both your iPhone and Mac: Often times, a simple restart can solve a ton of problems you may be encountering on your device. You can try restoring a backup after restarting both the Mac and iPhone.
Choose the right Mac to restore from if you have multiple Macs and you backed up manually on one of them.
Enter the right password for your encrypted backup and if you don’t recall it, create a new backup with another password.
Clear space on your device when creating or restoring a backup. You need ample space in both your Mac and iPhone to store and transfer your backup without an issue.
Create a new backup if an older backup has gotten corrupted or is incompatible. Apple doesn’t allow you to restore any amount of data from a corrupted backup.
Try a different USB-to-Lightning cable to connect your Mac and iPhone. This helps establish a better connection between the two devices.
Restore using an iCloud backup: iOS lets you back up your iPhone data wirelessly to iCloud so that you may restore them at anytime anywhere without using your Mac.

How to Create a Freeform Board
Select the Create a Board icon (pencil in a square) at the top of the app window.
When the blank board displays, you’ll see the default name of “Untitled” on the top left, which you can change. On iPhone, tap the three dots and pick “Rename.”
On iPad, tap the arrow next to the name and select “Rename.”
On Mac, select the current text and replace it with your own.
You can use the zoom option on the bottom left to increase or decrease the board space. Use the zoom drop-down box or the plus and minus buttons to pick a percentage.

How to Add Items to a Freeform BoardWith Freeform, you can add all sorts of items to your board to collect and display your ideas. You can also adjust each item to fit the space, change the font, or choose a color.
The customization options are in different places on mobile and desktop. On iPhone and iPad, these options are in the item’s toolbar.
Add a Sticky Note
Select the Sticky Note icon in the toolbar to add a note to your board, then enter the text.
Drag a corner to resize the note or select it to drag it to a different spot on the board.

Insert a Shape
Select the Shape icon in the toolbar to include a shape on your board. You can pick from a category in the pop-up window like Basic, Geometry, Animals, Activities, and more. Alternatively, you can search for a particular shape by using the magnifying glass icon.
Drag a corner to resize the shape or select it to drag it to a different spot on the board.
Add a Text Box
Select the Text Box icon in the toolbar and add text inside it.
Drag a corner or edge to resize the text box or select it to drag and move it anywhere you would like.
Insert Photos, Videos, or Links
Select the media icon in the toolbar to add a photo, video, or link. You can also insert a scanned document, use your device camera, or on Mac, add a sketch from the Freeform app on your iPhone or iPad.
Photos: replace the image, crop it, or view it in full screen mode. You can also apply a shadow, round the corners, and lock the image in place.
Videos: replace the video or view it in full screen mode. Like photos, you can apply a shadow, add rounded corners, and lock its position.

Add a File
On iPhone and iPad, tap the Media icon and choose “Insert From” to add a file.
Once you locate and insert the file, select it for additional actions. You can replace the file, view it in full screen mode, lock its position, or add a description.
Use Markup
On iPhone and iPad, you’ll notice the Markup icon in the toolbar. Tap it to display the markup tools like a pen, marker, and eraser.
Using markup, you can also jot down text with your finger on iPhone or scribble with an Apple Pencil on iPad.
Other Freeform Board OptionsYou can also duplicate a board, make a board a favorite, hide the grid layout, export your board as a PDF, or print your entire Freeform board.
On iPhone, open the board and tap the three dots at the top, then select an action.
On iPad, tap the arrow next to the board name and choose an action.
To export or print on Mac, open a board, select “File” from the menu bar, and choose an option.

How to Collaborate on a Freeform BoardIf working on a board with someone else is what you need, Freeform provides you a simple way to collaborate.
Open the board and select the Share button on the top right.
Before you choose the sharing method, you can adjust the permissions at the top of the sharing pop-up window. Select “Only Invited People Can Edit.”
You’ll see access and permission settings along with an option to allow others to invite more people to the board. You’re able to adjust these settings later, too.
Choose a person to send the board to in Messages or pick an app like Mail, Slack, or another option, depending on your Share settings, to share the board.
Edit Shared Freeform BoardsAfter you share a board with others, you can manage the board permissions, invite others, or stop sharing the board.
Select the icon for your collaborator(s) in the top right and choose “Manage Shared Board.”
You can use the plus sign to invite more people, adjust the permissions near the bottom, and allow collaborators to add others. Additionally, you can copy a link to the board or stop sharing it with the options at the bottom of the settings.
How to Manage Your Freeform BoardsWhen you open Freeform each time, you’ll see All Boards front and center so that you can select one to work on. On the left side on iPad or Mac or using the arrow on iPhone, you can also choose from Recents, Shared, and Favorites. If you’ve removed boards, you’ll also see Deleted Boards that remain accessible for up to 30 days.

Step #1. Open Clips app on your device.
